MISSION/OBJECTIVES:

Under the supervision of HR supervisor, the administrative Assistant carries out administrative tasks Sittwe

base related to National and expatriate staff

MAIN RESPONSIBILITIES

EXPATRIATE HR ADMINISTRATION:

Prepare the arrival and departure of Expatriate (briefing and debriefing schedule, airport pick-up, accommodation…)

Respect SI administrative procedures for the management of advance & payment of travel agency, hotel and cook

Prepare accommodation, lunch and car request for SI staff

Prepare the Guesthouse menu on a weekly basis in link with the cook and share it to all expatriates

NATIONAL HR ADMINISTRATION

Recruitment

In charge of the recruitment process and FU: announcing/advertising, receiving and sorting the applications

Organize the interview and technical test for Sittwe recruitment

Employees FU

Under the supervision of his/her Line Manager prepare contracts, amendments and regular ends of contract in Homere

Participate to orientation of new recruited staff (document to fill, sign and provide)

Update and ensure complete and proper documentation of the HR files and of HR digital files as per Solidarites International

archiving procedures and check HR archives from the base.

collaboration with the Finance department for the envelopes preparation and payment

Participate to the induction session

GENERAL ADMINISTRATION:

Send the weekly movements plan for the administration Office

Book flight/bus tickets and hotel rooms requested by the mission, and confirm it/them with prior validation of Line Manager

Update the Market Price Follow up tool on a monthly basis and keep the HR Manager aware of any significant changes

REPORTING/COMMUNICATION/REPRESENTATION:

Take part to internal meeting as assigned

Report back all information or problems linked to his/her activity to his/her line manager;

 Experience in booking, hotel reservation and air ticketing is mandatory

 Minimum 1 year in NGO/INGO Fields

 Advance english level, spoken and written
