Administrative Assistant (DAI)

Job Description/Requirements

Essential Duties

The Administrative Assistant will work with operations and management to ensure that the administrative functions

of the office run efficiency. Main responsibilities include:

• Maintain project files and documents (scanning, printing and uploading, as required) to ensure compliance with

DAI’s internal SharePoint policy

• Support the Operations Team with the maintenance of proper documentation and approvals in the TAMIS

information system

• Maintains internal and external office communication, including office newsletters, handbooks, annual reports,

message boards, calendars, and reminders

• Assist with the project’s calendar of activities, preparing materials for workshops and meetings

• Manage relationships with local vendors as needed to support project meetings, workshops and travel

• Provide logistical support for project events and activities

• Coordinate conferences and meetings and arrange both in-house and external events

• Take and distribute meeting notes

• Support consultants and project staff with administrative processes and requirements

• Schedule and confirming appointments for clients, customers or supervisors

• Assist with project staff travel, such as: hotel booking, ticket reservation and car arrangements

• Manage email accounts, computer scans, project printing needs, management of the project shared drive and the

office mail to ensure fluid office operations.

• Upload all scanned and approved documentation into TAMIS to ensure files are properly saved

• Execute the screening for payments as requested

• Other administrative and operational support as needed


• BA/BS in Business Administration, International Development, or related field.

• At least 2 years of experience working with international NGOs, donors, or private sector

• Strong verbal and written communication and organizational skills;

• Ability to plan, organize, and prioritize competing demands;

• Detailed and deadline-oriented;

• Strong team player with a positive attitude;

• Flexible under pressure and in response to changing needs;

• Experience using Microsoft Word, Excel, and PowerPoint;

• Demonstrated initiative and self-motivation in handling all assigned tasks with minimal supervision;

• Demonstrated honesty, trustworthiness, initiative and self-motivation in handling all assigned tasks;

• English and Burmese fluency is required, including strong English writing skills; additional fluency in regional

dialects preferred
