Job Description/Requirements
JOB DESCRIPTIONS
• Process employees’ requests and provide relevant information
• Arrange workplace arrangement and equipment, computer, working conditions for each department.
• Update Maintain employee records (soft and hard copies)
• Prepare the uniform, employee card for all employees.
• Company car arrangement.
• Job arrangement to all the cleaners / driver.
• Give an advice on the regulations on external relations in the Company.
• Paid the monthly charges electric bill, internet bill and etc..
• Maintain office supplies for department
• Arrangement the invitation letter , Transportation , hotel booking etc. to support visitor.
• Prepare & support necessary document for the visa extension and stay permit for foreign experts.
• Maintain contact lists , contract and office document etc..
• Book travel arrangements
• Submit and reconcile expense reports
• Provide general support to visitors
• Provide general administrative and clerical support including mailing, scanning, faxing
• Act as the point of contact for internal and external clients
• To ensure that all documents issued complies with the requirements of the Quality Management System and or other system related to business require
• To maintain and track all documents issued and received in an appropriate manner
• To ensure all documentation is filed as hard copy, as needed, and as soft copy in the designated folders on the shared folders
• To archive all related documents in the company’s S Drive periodically and on completion of the project
• Planning / Supporting audit related
• To undertake any other tasks as assigned by the Quality Director as required from time to time
JOB SPECIFICATIONS
• University graduated Administrative Management Certificate (or) Diploma holder preferable
• Minimum 1+ year of Admin function
• Working knowledge of office equipment, like printers and fax machines
• Strong organizational skills with the ability to multi-task
• Effective verbal, listening and written communication in English
