Job Summary
The specific duties and responsibilities of Logistic and Procurement Officer will include providing necessary support in the following works:

Job Description/Requirements
Event Management:
Event resources preparation and on-site event implementation and management as a team member
including transportation to the venue and management of event materials. Monitoring and supporting
participants during travel to and from venues.
Ensure printing materials are transported to accurate event venue and set up in a timely fashion.
Calculate, prepare and provide per diem, allowances, reimbursement and honorariums for the event.
Act as a front line support for participants, reporting concerns to on-site appropriate personnel as
necessary.
Document and record event activities via attendance registration and photo with mobile device or
digital camera.
Contracting for the panelists/Moderators/Authors/Artists upon on the event.
Support in liaison and communication with multiple stakeholders; Invitees, participants and
representatives from Government Departments, UN Agencies and NGOs as needed.
Office Management:
Provide travel arrangements, hotel reservations, preparing travel support documents for program and
project staffs, consultants and visitors;
Contracting for the International and National Consultant according to the Donor budget and
organization policy.
Purchase and Procure office supplies in accordance with purchasing policies and budgets. Replenish
office stationery and supplies regularly by collecting quotations and procuring in accordance with the
office procedure update and maintain price list.
Repair and maintenance office materials, facilities/furniture and computer.
Responsible for regular maintenance and repair of office buildings and residences.
Searching and negotiation for rental of office and residences.
Contracting the office rental process
Communication with translator for Project reports translation and continuous the report publication
for all projects,
Providing delivery process for project reports/Policy Briefs to State and Regions Government/ CSO,
MPs Parties and Donor
Preparing service agreement for National/International consultant/ Interpreter
Preparing the procurement process for purchasing inventory and assets
Keep updated the list of all assets (investment materials) present in the loc ation with all
requested information (brand, model, SN, reference of reception’s documents, condition)
every end of the month
Compile all necessary information and documents with hard and soft copies
Office library management (hiring books, update of book lists by EMReF and Project, checking the
ground and record book lists (twice per year)
Prepare monthly inventory reports according to donor standard guidelines and submit to line manager
every end of the month or upon the request
Provide necessary supervision, training, guidance to junior staffs and all staff
Modifying the procurement policy if required
Other duties assigned by Immediate Supervisor

Skills and Requirements:
University Degree holder or a degree in Procurement & Logistics Management or the equivalent.
Two years of experiences in related field
Good knowledge in English both written and oral communication is a must
Proficient in Microsoft Office, internet and email; problem-solving and troubleshooting of basic IT
hardware and software.
